Privacy Policy

1. Who we are

TellAcross ("we", "our", "us") is a real-time AI voice translation service. This Privacy Policy explains what personal data we collect, how we use it, and your rights in relation to it.

2. Data we collect

Account data: When you register, we collect your name, email address, and password (stored as a hashed value — we never see your plaintext password).

Usage data: We collect information about how you use TellAcross — rooms created, call duration, languages selected — to provide the service, enforce usage limits, and improve the product.

Voice audio: Your microphone audio is processed in real time to produce transcription and translation. Audio is not recorded or stored. It exists only in memory for the duration of processing and is discarded immediately after.

Voice samples (optional): If you choose to enable voice cloning, we store a short recording of your voice so we can reproduce your tone in your translated audio. This is voice biometric data. It is used only to generate your own translated speech, is never shared or sold, and is deleted when you remove your voice profile or delete your account. You can use TellAcross without enabling this feature.

Transcripts: The text transcript of a call is displayed to participants during the call and is not saved to our database after the call ends. Saved transcript history is a planned opt-in feature for Pro and Enterprise; if and when you explicitly enable it, the retention described below will apply.

Technical data: We collect standard server logs including IP address, browser type, and request metadata for security and operational purposes. These are retained for up to 90 days.

3. How we use your data

We use your data to:

  • Create and manage your account
  • Provide the translation service during calls
  • Enforce your plan's usage limits
  • Send transactional emails (account verification, password reset)
  • Diagnose and fix technical issues
  • Comply with legal obligations

We do not use your data for advertising. We do not sell your data to third parties. We do not build behavioural profiles.

4. Third-party processors

To deliver the service, we pass data to the following categories of sub-processors:

  • Speech recognition providers: Receive your audio in real time for transcription. Bound by their own privacy commitments and our data processing agreements.
  • Translation providers: Receive transcript text for translation. No audio is shared. No user identity is included in translation requests.
  • Voice synthesis providers: Receive translated text to generate speech audio. No user identity is included.
  • Infrastructure providers: Cloud hosting, databases, and object storage used to run the service.

All sub-processors are required to handle data securely and in accordance with applicable privacy law.

5. Data retention

Audio: Never stored. Discarded in real time after processing.

Voice samples: Stored only if you enable voice cloning. Retained until you delete your voice profile or account, then removed within 30 days.

Transcripts: Not retained after a call ends. If the planned transcript history feature is later enabled on your account, retention will be limited to 30 days, after which transcripts are automatically deleted.

Account data: Retained until you delete your account. Deleted within 30 days of account deletion request.

Server logs: Retained for up to 90 days for security and operational purposes.

6. Your rights (GDPR)

If you are located in the EU or UK, you have the following rights:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Ask us to correct inaccurate data.
  • Erasure: Request deletion of your account and associated personal data.
  • Portability: Receive your account data in a machine-readable format.
  • Objection: Object to processing of your personal data.

7. Cookies

We use only essential cookies required for authentication and session management. We do not use advertising cookies, tracking pixels, or third-party analytics cookies.

8. Security

All data in transit is encrypted using TLS 1.3, and camera video is streamed peer-to-peer with encrypted WebRTC (DTLS-SRTP) — it is never decrypted on our servers. Passwords are hashed using bcrypt. Access to production systems is restricted to authorised personnel only. See our Security page for more detail.

9. Children

TellAcross is not directed at children under the age of 13. We do not knowingly collect personal data from children. If you believe a child has created an account, please contact us and we will delete it promptly.

10. Changes to this policy

We may update this policy from time to time. We will notify registered users of material changes by email. Continued use of TellAcross after notification constitutes acceptance of the updated policy.
